The Seventh ASEAN Heritage Parks Conference (AHP7) will be held in Novotel Bogor Golf Resort & Convention, Bogor, Indonesia from 30 October to 4 November 2022, inclusive of the arrival and departure dates of participants.

Conference participants are requested to register online and in advance, but no later than 21 October 2022 to facilitate smooth coordination of the issuance of travel documents for sponsored participants and name badges for all participants. Self-paying participants must register online and refer to the registration link on the website for the conference cost and payment information.

Access to the meeting venues is subject to the presentation of identification badge. Badges will be issued at the registration area located in front of the main entrance of the hotel. 

Registration will be between 8:00 (8AM) to 18:00 (6PM) from 30 to 31 October 2022. 

For identification and security reasons, all participants are requested to wear their name badges at all times during the Conference. 

Accommodations will be provided at Novotel Bogor Golf Resort & Convention Center and Ibis Styles Bogor Raya.  For sponsored participants, hotel booking will be done by the AHP Secretariat. Courtesy accommodations for sponsored participants include a room and meals (breakfast, am and pm snack, lunch and dinner). Personal charges, such as local and long-distance telephone calls, business centre use, laundry, room and hotel transportation services, mini-bar items, as well as restaurant and bar services, shall be paid by the respective participants directly to the hotel. Should participants wish to extend their stay in the hotel, expenses will be charged to their personal accounts. Self-paying participants are to book their hotel of choice.

The Novotel Bogor Golf Resort & Convention and Ibis Styles Bogor Raya Hotel are only 50 minutes away from the city center. It is set in the tranquil Bogor Raya Golf Estate and is surrounded by 5-hectares of tropical gardens.

The two hotels are within walking distance of each other and can be reached in 5 minutes or less. A shuttle service and bike are also available in the area.

Check-in time is 14:00 hours (2PM) and check-out time is 11:30 AM. Participants arriving before 14:00 hours can store their luggage with the hotel concierge until their room becomes available.

Participants must have a passport or travel document with a minimum validity of six (6) months before the scheduled conduct of the conference.

Citizens of ASEAN with diplomatic and official passports are not required to apply for a visa to enter Indonesia. For resource speakers and/or participants requiring visa to enter Indonesia, applications can be made at Embassies of Indonesia in their respective countries. Visa application will require a passport or travel document that is valid for at least six months.

Please keep in mind that all participants are responsible for obtaining visas and meeting all health-related requirements before entering Indonesia.

For sponsored participants, the AHP Secretariat will issue the most economical round-trip air ticket.

Please note that the ticket will be issued by the AHP Secretariat once the sponsored participant has confirmed the itinerary and submitted the signed Declaration of Commitment, Annex A. If the sponsored participant fails to attend the conference, the airfare, accommodations, cancellation costs, and all other costs associated with the AHP 7 Conference will be charged to the participant. Furthermore, once the ticket is issued, any changes (such as travel dates, schedules, or routing changes) will be charged to the participant.

Transportation will be provided to sponsored participants during arrival on 30 October 2022 and departure on 4 November 2022.

Sponsored participants are advised to look for the AHP7 Information Booth at the arrival area of the airport, and approach the AHP7 representative/s for direction to the assigned vehicle.  Transportation schedules will be provided in the AHP7 website.

To facilitate the orderly distribution of reimbursements (airfare or costs for land travel to and from country of origin, visa fee) and the out-of-pocket meal allowance to sponsored participants, schedules and venues for disbursement by the AHP Secretariat will be accessible at the registration area, and conference venue.

Sponsored participants are requested to keep their boarding passes and original copies of expense receipts, and submit them to the AHP Secretariat when claiming allowances and reimbursements for expenses during the Conference.  

Participants are also required to send a scanned copy of their boarding pass for their return flight to Ms. Walane Aquino at wdcaquino@aseanbiodiversity.org with the subject, Boarding Pass [Name of Participant].

Please bring your vaccination card, wear your mask at all times, and adhere to all health protocols. There will be a medical helpdesk at the Conference venue. Basic first-aid medical services shall be available onsite and during the field visit. However, we encourage everyone to bring their own medication.

The Seventh ASEAN Heritage Parks Conference (AHP7) Marketplace and Exhibits will highlight the milestones, successes, and key accomplishments of the ASEAN Heritage Parks (AHP) programme over its 38 years of existence. It will also provide an opportunity for the AHPs to showcase their biodiversity-based products and good protected area management practices.

The AHP7 is an eco-friendly conference, hence, all exhibitors are encouraged to use recycled, recyclable, or biodiversity-friendly materials, such as cardboards, boxes, canvas, bamboo, and papier-mâché, among others, as exhibit materials.

The field trip will be at the Situ Gunung National Park on 03 November 2022, participants are requested to wear appropriate outdoor clothes that will provide protection from the rain or sun. Wearing rubber shoes /or walking shoes are also recommended.

Situ Gunung (for more updates from KKH)

The travel time from the hotel to Situ Gunung is about 2 to 3 hrs. There are 3 paths in Situ Gunung to get to Sawer waterfall. (1) Land route – don’t go through the bridge, go under the bridge to get to Sawer waterfall; (2) Regular route – via the suspension bridge (the longest in the Southeast Asia), but the queue line rotates; and (3) VIP route – via suspension bridge, short queue route, transfer by motorcycle taxi or walk by about 700m from the counter to the queue gate. VIP route includes snack and lunch.

The Situ Gunung is building another suspension bridge which is longer, around 500 meters long, another tourist attraction and it is expected to be finished in August 2022.

The climate in Bogor is hot, oppressive, and overcast. Over the course of the year, the temperature typically varies from 69°F to 89°F and is rarely below 66°F or above 93°F.

Electric Supply, Plug Adapters, and Outlet Sockets

In Indonesia, the standard voltage is 230 volts. The standard frequency is 50 hertz. The majority of power plugs and sockets in Indonesia are type C and F. This plug is the standard European 2-pin socket and plug design. Please bring an adapter to avoid inconvenience.

Meals 

Breakfast, coffee breaks, lunch, and dinner will be served at Verandah Restaurant throughout the conference, with the exception of the dinner on November 1 and 2, which will be served at the Novotel’s Grand Ballroom.

Participants billeted in Ibis Styles Bogor Raya Hotel may take their breakfast at the Ibis hotel’s restaurant at the ground floor.

Language

The conference will be conducted in English. Interpretation from English to Cambodian, Bahasa, Burmese, Thai and Vietnamese will be available in most sessions.

Dress Code

For the workshop-proper, participants are requested to wear smart casual attire. 

 

For the Welcome Dinner which will be held on 01 November 2022, participants are encouraged to wear their national costumes.
